AiOlders provides AI automation services for businesses, including AI email agents, reputation management, voice AI receptionists, and chatbot solutions. When we refer to "we", "our", or "us" in this policy, we mean AiOlders.
2. Data We Collect
We collect the following categories of personal data:
- Account data: Name, email address, password (hashed), business name, phone number
- Business registration data: Company registration number, tax ID (EIN/ABN/CRN), business address, authorized representative details — collected solely for telecom regulatory compliance
- Payment data: Billing address and card details are processed directly by Stripe. We store only your Stripe customer ID and subscription status — never raw card numbers
- Usage data: Call transcripts, SMS message logs, AI conversation records, knowledge base documents you upload
- Technical data: IP address, browser type, session data, cookies
3. Why We Collect It
- To create and manage your account and subscription
- To configure and operate your AI agent services
- To submit phone number regulatory compliance filings on your behalf (A2P 10DLC, KYC, ACMA Sender ID, etc.)
- To process payments and manage billing
- To send service-related communications (setup updates, compliance status, support)
- To improve our services through aggregated, anonymised analytics
4. Who We Share It With
We use the following sub-processors. Each is contractually bound to data protection standards:
- CRM Platform — Workflow automation and AI platform hosting your subaccount
- Stripe — Payment processing and subscription management
- Twilio / LC Phone — Telephony infrastructure and SMS delivery
- Supabase — Database and authentication services
- Retell AI — Voice AI processing for the AI Receptionist
- OpenAI — Large language model processing for email and chat AI features
We do not sell your data. We do not share personal data with third parties for marketing purposes.
5. Data Retention
- Account and subscription data: Retained for the duration of your subscription plus 12 months after cancellation
- Call recordings and transcripts: Retained for 90 days, then automatically deleted
- SMS message logs: Retained for 90 days
- Regulatory compliance documents (submitted to carriers): Retained as required by applicable telecommunications law (typically 3–5 years)
- Payment records: Retained for 7 years as required by UK financial regulations
6. Your Rights Under UK GDPR
As a data subject under UK GDPR, you have the following rights:
- Right of access: Request a copy of all personal data we hold about you
- Right to rectification: Request correction of inaccurate or incomplete data
- Right to erasure ("right to be forgotten"): Request deletion of your data, subject to legal retention obligations
- Right to data portability: Receive your data in a structured, machine-readable format
- Right to object: Object to processing of your data for direct marketing or legitimate interests
- Right to withdraw consent: Where processing is based on consent, withdraw it at any time without affecting prior processing
